High Grade Tuition Terms and Conditions
Tuition Fees
- Tuition Fees: Our bespoke study programme operates year-round, with tuition fees billed hourly per week but paid monthly in advance.
- Initial Payment: During enrolment, you will be charged the first month or part month’s fees upfront.
- Monthly Invoicing: Subsequent invoices will be issued at the beginning of each month for that month’s fees.
Registration Fee
A non-refundable registration fee of £35 is charged at the time of registration to secure your enrolment.
Payment Methods
- Bank Transfer: Direct payment by bank transfer is accepted.
- Cash Payments: Cash payments can be made at the tuition centre.
All invoices must be settled by the 5th of each month or the first Saturday of the month if paying cash at the centre.
Late Payments
Late payments will attract a £17.50 administration charge for any reminder invoices or letters sent.
Breaks and Snacks
- Break Times: Break times are fixed, with provisions of water, soft drinks, and light snacks during designated intervals.
- Dietary Considerations: Special dietary requirements will be accommodated if notified during registration.
Termination of contract
- Termination Notice: If you wish to terminate your contract for tuition, we require 4 weeks’ advanced written notice. If we decide to terminate this contract, we will also give you 4 weeks’ notice.
- No Suspension: Suspending tuition for any period is not possible due to high demand. If you wish to return, you will need to re-enrol as a new client, subject to availability.
Session Cancellations
- Non-refundable Fees: Monthly tuition fees are strictly non-refundable and non-transferable, except during school term holidays with prior notice for absences.
- Catch-up Sessions: In cases of sickness or circumstances beyond your control, attendance at the earliest available catch-up session is mandatory to compensate for missed sessions through digitally provided work.
- Centre Cancellations: In the unlikely event of a session cancellation by High Grade Tuition Centre, every effort will be made to reschedule. If rescheduling is not feasible, the fee for the cancelled session will be credited in your subsequent invoice.
Attendance and Punctuality
- Session Duration: Each session runs for a total of 60 minutes, and students must arrive on time to start the session at the scheduled start time.
- Lateness Policy: Tutors cannot delay the start time or make up time for late students, as it disrupts other sessions. Persistent lateness may lead to termination of services.
- Absence Notification: If a student is unable to attend class, please notify the Centre Manager at least 24 hours prior or by 9 AM on the day of the class in case of sickness or emergency.
- Unauthorised Absences: Students reported absent for more than 3 consecutive sessions will be considered unenrolled and will be required to re-register.
Drop-off and Pick-up
Parents/guardians are responsible for ensuring the child’s arrival and departure if the child is not old enough to go to and from the Centre independently. Tutors are not liable for students outside the Centre premises.
Liability
Parents/guardians shall be liable for any damages caused to High Grade Tuition Centre property, including vandalism to fixtures, fittings, and resources.
Conduct Towards Staff
Abusive behaviour towards staff by students or parents/guardians will not be tolerated. In such cases, the police will be called, and the individual prosecuted. Furthermore, the student will be permanently excluded and banned from all our centres.
Copyright Policy
High Grade Tuition Centre resources and worksheets are copyrighted material, subject to UK copyright legislation. Any unauthorised reproduction, publication, reuse, or distribution of our resources and worksheets is expressly prohibited. Violators will be liable to the fullest extent of the law, and we will seek to claim damages.
Changes to Terms and Conditions
- Amendments: We reserve the right to add, amend, and update the terms of service at any time.
- Notification: You will be notified 14 days prior to the implementation of any changes.
- Termination Rights: If you do not agree to the updated terms of service, you have the right to terminate your agreement with us within 28 days of being notified, without any loss of fees paid for sessions yet to take place.
Acceptance of terms and conditions
By completing our registration form, you are accepting these terms and conditions. You also agree to any future additions, amendments, and updates to the terms of service, unless you provide adequate notification in line with the terms of this agreement.
A written copy of this agreement is available upon request for our clients. Please ask a member of our team for a copy.
Complaints Procedure
In the first instance when a complaint is received the protocol is to ask the complainant to put the complaint in writing. Once we receive a written complaint, it will be dealt with by the Centre Manager who will follow the procedure outlined below. If the complaint is against the Centre Manager, you must send in your complaint to the Director.
Where an oral complaint is made the person receiving the complaint will:
- identify himself/herself, listen, record details and determine what the complainant wants;
- confirm the details received;
- explain the complaints resolution procedure, and advise of alternative courses of action;
- resolve the complaint immediately if possible or make a commitment to resolve the complaint within a given time frame; and
- follow up the complaint as appropriate e.g provide the complainant with feedback regarding the result of any action taken to resolve the complaint.
Where a written complaint is made we will:
- provide the complainant with written feedback within ten (10) days of receiving the complaint regarding the result of action taken by the Centre Manager to resolve the complaint; and
- if it is not possible to resolve the complaint within ten (10) days, provide written acknowledgement of receipt of the complaint within seven (7) days and specify the time frame within which the complainant will receive feedback regarding the result of action taken to resolve the complaint.
We will ensure that all Centres and staff are familiar with our complaints resolution policies.
Safeguarding Procedure
At High Grade Tuition Centre, the safety and well-being of the children in our care is our top priority. We have implemented the following safeguarding procedures to ensure a secure and protected environment for all students.
Staff Recruitment and Training
- Enhanced DBS Checks: All staff members, including tutors, administrative personnel, and management, must undergo an enhanced Disclosure and Barring Service (DBS) check before being employed.
- Safeguarding Training: All staff must complete comprehensive safeguarding training annually, covering topics such as recognizing signs of abuse, reporting procedures, and creating a safe environment for children.
- Code of Conduct: Staff members are required to adhere to a strict code of conduct that outlines appropriate behaviour and boundaries when interacting with students.
Facility Safety
- Secure Access: Our tutoring centres have secure access systems in place, with only authorized personnel and students allowed entry. Visitors must sign in and out and wear visible identification badges.
- CCTV Monitoring: CCTV cameras are installed in common areas and classrooms for monitoring and security purposes.
- Classroom Visibility: Classrooms have large windows or glass panels to ensure visibility from the outside.
- Emergency Procedures: Emergency procedures are in place for situations such as fire, lockdown, or medical emergencies, and staff are trained to handle these situations effectively.
Student Safety
- Parental Consent: Parents or guardians must provide written consent for their children to participate in tutoring sessions and any off-site activities.
- Pick-up and Drop-off Procedures: Strict pick-up and drop-off procedures are in place, with only authorized individuals allowed to collect students.
- Reporting Concerns: Students and parents are encouraged to report any concerns or incidents to staff members, who are trained to handle such situations appropriately.
- Online Safety: For online tutoring sessions, measures are in place to ensure secure and appropriate communication between tutors and students, including monitoring and recording of sessions.
Policy Review and Updates
This safeguarding procedure is reviewed and updated regularly to ensure compliance with the latest regulations and best practices in child protection.
